Data Capturer | OfficeAssistant | Customer Relations

Position type: Full time - start immediately
Niche marketing promotions agency seeking junior level assistant to manage orders, logistics, couriering of items, and customer calls/e-mails.
Minimum work experience: minimum 1 years office experience on a computer and handling phone calls.
Minimum level of education: Tertiary qualification (marketing/business/similar beneficial)
Location: Cape Town (Milnerton) area

General Responsibilities

Staff incentive order management:

  • Downloading the orders when receiving the email notifications
  • Updating the internal report with the new orders
  • Processing each order (requesting an invoice from the various suppliers, sending the invoices on for payment, processing the orders once payment has been made, managing the delivery of the orders either via SMS or courier)
  • Updating the report daily and sending the latest report onto management weekly
  • Notifying management of any outstanding payments/orders and chasing the suppliers for any outstanding invoices/orders
  • Managing the different suppliers
  • Updating the product catalogue with images, descriptions and pricing
  • Managing all enquiries

Winner management:

  • Assist with prepping the winner scripts
  • Draw the winners on the SMS/USSD portal
  • Phone all the winners, congratulate them and acquire their details
  • SMS them if they are not available and follow up with them until their details are obtained
  • Email all the winners
  • Check/verify all slips and ID documents
  • Update the winner report throughout the process
  • Prep the prize deliveries (courier) or SMS the vouchers
  • Follow up with the winners for photos and write ups
  • Send management the winner report including a status report on each winner
  • Handle and escalate any and all winner complaints immediately
  • Provide feedback on the success of the campaign based on the winners and prizes

Stock management, deliveries and logistics:

  • Receiving all orders/stock (counting and signing for stock)
  • Packing stock
  • Dispatching stock to recipients
  • Using the online courier portal to quote and book deliveries
  • Completing the waybills and prepping all items for collection
  • Sending the recipient their tracking number via email

  • Tertiary education diploma or degree
  • Computer experience (Microsoft Office including Outlook, Word, Power Point and Excel)
  • Work well over email – work instructions are provided over email and customer liaising is predominately via email
